Partners who refer and hear nothing stop referring. Five copy-ready emails that close the loop, from the moment an introduction arrives to the day the fee is paid.

Silence is the most common failure mode in referral programs. A partner lends you their credibility, the referral disappears into your sales process, and the partner is left wondering whether anyone followed up. These five emails answer that question at every stage. Fill in the brackets, send within a day of each trigger, and the loop stays closed. Thank you for introducing prospect name. The referral is logged to you as of date, so your attribution is protected. owner name will reach out within two business days, and I will update you as soon as contact is made. You do not need to do anything else.

Subject: Update on prospect name: stage

A quick update on your introduction to prospect name. We spoke on date / qualified the opportunity / sent a proposal. The next step is next step, expected by date. Nothing is needed from you. Thank you again for the introduction.

3. Won

Subject: Prospect name signed. Here is what happens next.

Your introduction to prospect name became a client on date. Per our agreement, your referral fee is X% of collected revenue, which we estimate at $ amount over the first 12 months. The first payment is scheduled for date, and every payment comes with a statement showing the calculation. This one started with you. Thank you.

Your referral statement for period is attached: n active referrals, $ X in collected revenue, $ Y earned. Payment goes out on date via method. If anything in the math looks off, reply here and we will walk through it together.

Four rules that make the templates work

Confirm the same day

The confirmation email protects attribution and tells the partner the introduction was respected. It is the cheapest trust you will ever buy.

Never let a loss go silent

The lost email is the one most companies skip and the one partners remember. Telling a partner what did not fit teaches them what does, which improves the next referral.

Pair every payment with the math

A payment without a statement is a pleasant surprise. A payment with the calculation is a compensation plan. Only one of those motivates consistent behavior.

Send updates without being asked

If a partner has to chase you for status, the update arrives with an apology attached. Updates sent at stage changes arrive as proof the system works.
